Secretary I

Under general supervision, provides general office and support services; performs related work as required. The secretary performs bookkeeping functions, daily interlibrary loan and reference requests from member libraries in a nineteen county area of Southwest Iowa, and acts as office manager for the Library Service Area. The secretary supports the mission and plan of the Library Service Area.

Essential job functions

Performs receptionist duties.

Prepares and maintains statistical reports associated with interlibrary loan and reference on a monthly, quarterly, and annual basis.

Prepares bills bi-monthly and maintains bookkeeping records, including check lists, and financial reports (using computerized bookkeeping software).

Provides secretarial assistance to Library Service Area staff and board, as needed, including: typing, photocopying, filing office correspondence, and mailing.

Organizes and maintains office files.

Tracks inventory of supplies and recommends orders; works with vendors to maintain accounts and orders, resolution of issues.

Manages booking, circulation, and mailing of professional materials and collections of Library Service Area, on an ongoing basis.

Maintains inventory and other office records, in hard copy and on computer. Office records include, but are not limited to, bookkeeping, mailing list, statistical reports.

On an ongoing basis and as time permits, aids in conversion and compilation (via computer) of local library bibliographic records for state database.

Receives and processes interlibrary loan and reference requests from member libraries. Utilizes computer, telephone, and fax machine to receive and transmit requests.

Assists in maintaining information on Library Service Area website(s).

Knowledge, skills, and abilities requirements

Knowledge of English, spelling and arithmetic; knowledge of basic office practices; ability to follow oral and written instructions accurately and efficiently; ability to establish and maintain effective working relationships with others, particularly over the phone, and to deal tactfully with the public; ability to plan and organize work flow; ability to work with computers on daily basis; ability to work independently and to operate office alone; ability to work normal business hours of the Library Service Area (8:00 am - 12 noon and 1-5 pm, Monday through Friday); ability to react to change productively and to handle other tasks as assigned.

Supervisory responsibility

Supervises any part-time interlibrary loan personnel as may be employed by the Library Service Area.

Education, experience, and special requirements

High school diploma; completion of high school or post-high school program in secretarial and/or general bookkeeping procedures (or comparable experience); secretarial/general bookkeeping experience highly desirable; prior experience in working with the public preferred.
